Junior Operations Support Officer (Maternity Leave Cover)
CER is currently looking for a maternity leave cover for the position of Junior Operations Support Officer for a period of 12 months (full-time, based in Brussels).
General responsibilities:
Reporting directly to the Head of Administration and working closely with the Communications Department and Technical Department, the Junior Operations Support Officer maintains the contact databases, technical share point and intranet content, coordinates the digital workplace optimisation project, assists with conferences and meetings, deals with queries, and provides general support.
Key responsibilities:
- Database and website: provide support to:
- Updating, monitoring, and maintaining the contact databases (HubSpot, Microsoft Admin Center and Microsoft Azure).
- Updating and maintaining intranet content (Symantra platform) and documents in close collaboration with the communications department.
- Promptly answering the questions of staff and other stakeholders.
- Digital workplace optimisation project. Leveraging of artificial intelligence to enhance the association’s operations
- Keeps day to day execution on track to ensure a smooth execution.
- Coordinates schedules, tasks and documentation.
- Supports communication and reporting.
- Provides administrative support.
- Enables the project manager to focus on leadership.
- IT
- POC for IT service company.
- IT related equipment – purchases and monitoring expenditure.
- Managing licences and IT equipment.
- Keeping accurate inventory of all IT equipment.
- Basic trouble shooting.
- Basic in-house training.
- Meetings & events
- Scheduling (virtual) conferences and meeting room bookings.
- Providing support during virtual/hybrid conferences (MS Teams, GoToWebinar, Zoom, Webex, etc.).
- Managing booking system (outlook calendars).
- Assisting before and during events (participants lists, badges, name plates, mailings, …).
Required skills and qualifications:
- Bilingual English/French, another major European language is considered a plus.
- Recently graduated in IT or a first relevant experience in a similar role in a European environment.
- Good knowledge of database applications and software.
- Excellent with computer systems, Microsoft Office, internet research.
- Analytical mind.
- A high degree of flexibility, strong organisational skills, and methodical approach.
- A reliable, structured and target-oriented work approach with the ability to work independently.
- Proactive in problem solving with ability to multitask, to respond rapidly to changing circumstances and communicate effectively.
- Adaptability to varying workloads as well as the capacity for teamwork.
- Positive attitude, friendly and polite.
- Authorisation to work in Belgium.
